My Top of the Pops for freely available software – updated

I’ve written before about how it might be wise to look at subscription services rather than rely on free services and back in October 2020 I wrote a piece about the distinctions between Open Source and “free” software in general. Now it’s time to pick (and update) my winners in a number of categories. They will have to work on multiple platforms as well – PC (Windows), Mac (MacOS and Linux, and hopefully on smartphones and tablets as well. I will stake my reputation on the fact that if you download any of these pieces from the links I provide that it will be safe, and reliable.

Office software – word processing, spreadsheets and slide presentation. Here there are two close contenders but I’ll tip towards the true Open Source offering which is LibreOffice. At one time I used to recommend OpenOffice as an alternative to Microsoft Office, but the better file formats supported in LibreOffice tips the balance in their direction. Here’s a review of LibreOffice – a brilliant piece of Donationware. The runner-up would be the Google suite of applications (Docs, Sheets and Slides), but they’re not truly free … are they? Alternatively, recognising the competition of Google, Microsoft has made Office 365 Online freely available to be used with OneDrive.

Desktop publishing – you might like to look at Scribus; I have no experience of using it but here’s a review.

Media Player – there’s really only one player in this category. It’s VLC Media Player. It runs on really old hardware too, and supports almost every media format – here’s a review.

Photo editor – if you don’t want to shell out on Adobe software (Photoshop and Lightroom) or Paintshop Pro, or others, then again there’s only really one leader in this class. It’s Gimp. Here’s a review. There’s plentiful documentation and videos on using Gimp available on YouTube too. If it looks too complicated for you then Paint.net, or the new Google Photos (yes I know I said it wasn’t truly free) would be worth looking at.

Video editor – one that I’ve begun to “get into” recently has been Shotcut. I can truly say that once you’ve got over the shock of so many panels and options, and have spent a little while reading the good documentation and watching a few YouTube tutorials, that this is a little gem. Here’s a review. If you want to change video formats, then take a look at Handbrake – it’s saved my life a few times; a brilliant piece of software that changes one format of video to another, and also allows you to copy non-copyright protected DVDs to MP4 (for instance).

Audio editor – this is one that Jim’s recently been using and one that I’ve relied on a few times too. It’s Audacity. A clean multi-panelled window that’s reasonably intuitive I felt. If you want to edit audio tracks, change their format, or create a playlist, give it a try. Here’s a review.

Password Manager – I’ve gone on about the importance to consider using a password manager as a way of allowing you to “remember” different passwords without resorting to yellow stickers, or notebooks. In a crowded field of freeware contenders I go with the one I used to use – LastPasshere’s a review, but you you might easily choose an alternative, eg the freemium 1Password or the open source KeePass. [NB I’m now using Apple’s Keychain as I only have Apple kit. I still have a LastPass as a legacy repository for quick checks, and you can migrate out of LastPass to Keychain, or any other password manager.]

Anti-virus – no real recommendation but the freemium possibility is Avast. If I was a Windows user, I’d rely on Windows Defender. As I’m a Mac user I’ve installed Malwarebytes – supplied by my bank – but it’s never recorded a virus, or any malware. [Fingers crossed.]

Email client – if you’ve got Outlook, use the Microsoft client (or app); if you’ve got a Mac, use the Mail app; if you solely use Gmail, use a Google client (or app); BUT if you want to try something different and Open Source why not look at Thunderbird. It’s from the Mozilla Foundation (where the Firefox browser comes from) and it’s multi-platform and multi-email system supporting. Here’s a review of it. [Health warning: I have used it in the past, but not using it now as I am so immersed in the Apple ecosystem, but if I wasn’t, I’d be seriously looking at using it.]

Group Messaging – it used to be WhatsApp, but now it’s Signal which is Open Source, and Donationware. I give a small monthly donation to support.

Web browsers – both a difficult and easy one. It has to be either Firefox, or Brave in my book. I can’t distinguish between them. I like them both, but I suppose I still just tip towards Brave because it’s more like Chrome (unsurprisingly).

Search engines – again, for me, a relatively easy one to pick; it’s DuckDuckGo. Don’t just Google It – DuckDuckGo It. It should be available as a choice on “all good browsers”. If it’s not – change your browser, or add it to the list offered by your browser.

Web-design, blogging and the rest – for me, no competition – it’s WordPress. You’ll need to shell-out to buy a domain (eg thoughtgrazing.org), but after that you can use wordpress.com to commit your thoughts to the internet. WordPress will offer to host your website for an annual fee, but the use of the software is free. If you want to take it further you can find a hosting company, move your domain there (or purchase it there) and install wordpress.org and have access to the vast number of plugins that are available to tailor your website to just the way you want it. Many of these plugins are free, or are made available as freemium software.

Miscellaneous

  • an AdBlocker – go for the freemium AdBlock Plus (look out for similar sounding ones, and avoid them).
  • Note-taking – it used to be EverNote for me, but now I’m recommending either Microsoft’s OneNote coupled with OneDrive (if you’re a Windows user) and the greatly improved Apple Notes (if you’re a Mac/iOS user).
  • RSS Reader to scrape and archive content from websites I follow – it’s Feedly. I subscribe to their premium service.
  • Bookmarking – I used to use diigo, but now find that with the improved functionality in browsers and the integration with the cloud that it’s best to use your browser capability.
  • For offline reading I find Pocket a wonderful resource which I subscribe to as a premium service as I do Flipboard, from which I curate magazines which you can share – and I do!. [NB I’ve updated a post I wrote back in 2018 which describes the workflow I follow EVERY morning to do this – aren’t I boring!!]
  • MappingOpenStreetMap is a great piece of software that I haven’t used in an active sense, but I must investigate! [As an aside, take a look at Open Canal Map, not software but a community initiative that uses other publicly available maps to build upon.]
  • Google Earth Pro – the often forgotten global visualisation software, available from your browser, or in an app.
  • Video-conferencing – it used to be Skype, now it’s the freemium Zoom.
  • Online communities – a replacement for the sadly “sunsetted” Google+ could be Discord. This has achieved some notoriety in recent weeks, but it is also used for more than gaming and sharing secrets.
  • Media-server – you don’t need to rely on Apple TV, Netflix, Britbox or whatever. You can setup your own media-server with the freemium Plex server, and add your videos, music and images to your own server which you can access anywhere in the world, or just use their Plex player to view their streaming service.

Managing your eMail


This post was created for the Cardiff U3A Computer Group meeting on the 23rd January 2020, but is possibly of more general interest.

Starting Point – the givens; what we’re trying to achieve

  • Having a manageable amount of email will make your life easier and better.
  • Focus on lifestyle habits rather than hard-and-fast rules.
  • Work out what you don’t want from your email, and then create habits that prevent it from happening.
  • Work out how you will handle email daily and if you can – weekly, and monthly, and decide whether you need a method to archive or store emails, or the information contained in them.
  • The importance of context. Use the appropriate tool wherever possible.
    • You need an immediate answer – use the phone, and leave a voice message if there’s no reply, possibly with a text message – “please get back to me after you’re listened to your voice mail” – as backup.
    • You need a record of the answer to a question – use email; and seek confirmation by email if the answer comes back a different way.
    • You need to just keep in touch, or chat – use text (SMS) messaging or WhatsApp (or any other – I don’t want to recommend one – chat platform).

Tools you can use (all the “F’s”)

Forever email – whatever your email address is now, seriously consider getting an email address that will last forever and not be dependent upon your currently favoured Internet Service Provider (ISP). So … Google’s gmail.com mail would be a good choice, as (if you’re wedded to one technology, say Apple) would be the email provided by that supplier, eg icloud.com. Here’s an article that lists the best email accounts currently. Personally, I wouldn’t go beyond the first three, and I would be tempted to say only the first two! So that would give you a choice of Google, Microsoft plus (in my case) Apple.
Fake email address – you don’t have to have just one email address. Create a duplicate for using when a retailer asks for your email address.
For you alone – don’t share an email address with a partner; have separate ones; you can always setup an email programme to read both email accounts on one device (eg a tablet). Keep your personal email address for yourself, and for life!
Feature-rich email program (a rather contrived “f” this one) – use the mailer that your operating system provides for you. On Windows and Apple this would be called Mail. On your phone or tablet it might be called Gmail or Outlook. There are others as well.
Forward your email to one place – if you’ve set up a new email address, you can forward mail from your old address to your new one and then apply filters (see below).
Filters – these are very useful and relatively easy to set up (or create). They allow rules to be followed and your email to be handled the way you want it to be handled and not just hang around clogging up your Inbox.
Flags (or labels) – you can put a marker against individual messages in some email programs. Perhaps a colour code to indicate their urgency or priority.
Folders – these are invaluable and when combined with a service such as the three (Google, Microsoft or Apple) I’ve mentioned, can ensure that you have an archive of messages that should last as long as you realistically would ever want them.

Techniques to keep your eMail under control

Aim for Only 20 Items in Your In-box
[Warning … Do as I say, not as I do!!!]. Twenty e-mails means that you can see your whole in-box without scrolling. As soon as you deal with a message, file or delete it. Only messages from the past week that you’ve yet to respond to belong in your in-box.
Stick to a Schedule (difficult but invaluable)
[Warning … Discipline needed] Even though I check my mail several times a day just in case something pops up which really needs to be urgently handled, I try to not process them right away. I try to only do that once a day, either at the beginning of the day or in the evenings. So I need to adhere to respecting the difference between checking and processing. So …
Delete ruthlessly, when you’re checking
Don’t reply immediately unless …
Can you write back in two minutes or less? If so, do it immediately, and delete the incoming email from your Inbox. Your reply together with the original message should be in your Sent mail.
If an e-mail requires more time, perhaps flag it so it can be handled during a scheduled window later that day or the next morning.
Important … if an email looks as though it can’t be answered easily – pick up the phone!
Sounds obvious but … you don’t need to read every single mail that comes in. Pick and select what’s relevant to you.
I subscribe to several newsletters – but I don’t read all the mails that are sent to me. I don’t delete them either, because I know they may have valuable information contained in them. Instead, I sometimes set up filters to automatically archive them to different folders (labels on Gmail), or move them to the appropriate folder manually. I only read them when I want to get more information on the topic.
Remember you can Unsubscribe from an email list – it’s not difficult and can reduce the amount of email you get quite considerably!
Turn off notifications that appear on your desktop. You really don’t need that kind of message appearing which drags you to your Inbox!!
Close email when you need to concentrate on something else. Close your email application or sign out of webmail when you need to do work that requires real focus for at least 30 minutes. When an email program is open, it’s tempting to check periodically (or obsessively) for new mail. Closing the program entirely (not hiding it)  removes the temptation.
Try to remember to remove old email messages from your Trash Can, unless you’ve set it to Auto-Delete after a week, or a month, or whatever.
Email programs and setting up accounts. This is much easier now than it used to be and instructions are usually provided for your email provider on their website, eg Google’s Gmail.

More on Folders and Filters, and Flags (Apple)

Folders (or labels, if you use gmail) are there to help you organise your mails.
Firstly, use a relevant naming system to what you’re doing.
Secondly, use hierarchy structure. First level folders are for the big categories, and second level folders are for sub-categories, and so on.
These work best when you’re using an email program such as Mail or Outlook.
Filters are tools that help you sort out the mail automatically when it gets into your mail. There are 2 basic things are required for a filter – (1) The term to look out for (2) Action to apply if the term is matched.  You can set up filters for different email addresses, subject titles, body text … whatever! Depending on what filter it is, the mail will be automatically sorted into a respective folder / archived, or moved to the Trash can.
Flags are ways of colour coding a message to give you an indication of how you might want to handle the message.

Getting started with Digital Photography: Part 1

This article starts from the assumption that you already have a digital camera, or smartphone, and doesn’t pretend to give advice on how to proceed to purchase one except to say that I would strongly recommend buying from a camera shop for the after-sales service you would get. In buying a digital camera you’re buying into a system – Canon, Nikon, Sony, Fuji, Panasonic etc. – it can be a painful (and expensive) decision to change later, so it’s worth talking to someone who can talk about their experiences, or who can match your needs to what is available.
So therefore this article focusses on the software and in later posts – the processing of images using software.

Photography is a hobby that cries out to share its results (images) with other people and so therefore it’s best to work back from answering the question – what are you going to do with the images? By answering that question, the rest of the toolkit and the workflow you adopt is easier to answer. Typical workflows might be …
I just want to take a photo and print it.
I want to take a photo and possibly share it on Facebook, Instagram.
I want to take photos and make them into photobooks.
I want to take photos and post them to a website.
… of course it could be all of the above. One thing tends to unite them however, you need a place in the cloud to store your photos, from which you can then share them. If at all possible you should adopt a platform t
hat provides the maximum flexibility to allow you to do all of the above, and more, so that you don’t need to keep changing your systems as you develop your hobby. I’ve written about my workflow here.
So apart from the local USB disk-storage I use (with its backups, of course) to store and post-process my images, I use Google Photos as my main way of sharing photos in albums eg Orchids from Changi Airport, linked to the free storage (as long as you don’t store images at high resolution) you get on Google Drive. I do have other cloud storage/sharing platforms, but this is the one I use for photographs. I do also have a flickr account to share images – and I use it occasionally, as I do Instagram. As you develop your interest in photography, you may wish to have a more professional platform (I have used 500px), or the sharing platform that may be provided by your preferred software supplier (eg Adobe).
If you’re starting-out (or don’t want to spend any money) then you can use the editing software available within Google Photos, or if on a phone, or tablet, use Google’s Snapseed apps. You can still get Picasa for Windows 
and the Mac, which is software Google bought and supported for a while, but it is probably better to bite the bullet and use their Photos app in a browser, as it integrates well with Drive and Google+.
Then of course you might (like me) be an Apple user, and could of course use their Photos app and iCloud, but at the moment the editing facilities offered in the app are not (in my humble opinion) as good as Google’s. You can sync your smartphone “camera roll” to Google Photos automatically which is nice.
Other free photo-editing options are available. I will however after reviewing the other possibilities, only mention and discuss Google Photos on this blog.
If you’re a bit more sure that you want to invest in digital photography then there’s no better (imho) software than Adobe Lightroom. I’m not going into a whole set of reasons why you should invest in Lightroom rather than Photoshop Elements, or Apple’s Photo app, Paintshop, or even full-blown Photoshop. However for me these are the main benefits …

  • It doesn’t matter where your images are stored; you don’t have to import them into a database, but you can choose to import new images into a single location of your choice which is unconnected to the software.
  • It employs a catalogue which references where the images are stored. You can have multiple catalogues referencing the same set of images.
  • All changes (edits) to the images are stored in the catalogue. 
  • The original images are left untouched. This is called non-destructive editing.
  • You can go backwards and forwards through your edits, and can even create multiple virtual copies that allow you multiple versions of the same image, but only one actual (original) image.
  • You can store your images in Collections which equate to virtual albums unconnected to the actual folders the actual images are stored in.
  • You are supplied with a huge range of Plugins to allow you easy publishing to social media sites (eg flickr, Instagram, Dropbox), in addition to publishing to photobook websites (eg Blurb) and print sites (eg Smugmug).
  • You can apply presets to your images at import, developing or export so that the same look and feel can be achieved.
  • It integrates well with a whole range of other software such as WordPress (for blogging).

… I just feel that (for me at least) Lightroom is the best at the moment and it integrates with Adobe’s other software. It also now has a mobile version that allows editing on your iPad (or iPhone) if you subscribe to their Photography Creative Cloud Plan. This costs c.£9 a month and gives me both Lightroom and Photoshop, storage space in the cloud, and more besides, plus all the upgrades.
